DonorPerfect's Do Not Send Mail and No Mail Reason
DonorPerfect provides users with two fields to identify if an address should be mailed to or not. The Do Not Send Mail is a checkbox; the No Mail Reason includes both standard and unique values to each organization.
Because each organization can create their own unique values, there are several rules put in place to make sure that we are not overwriting any No Mail Reasons specific to the organization.
TrueGivers' Synchronize Inactive Addresses as Do Not Mail Setting
TrueGivers has a setting that allows you to control whether the integration uses the Do Not Send Mail and No Mail Reason fields within DonorPerfect. This setting is called Synchronize Inactive Addresses as Do Not Mail integration Setting.
This setting is turned on by default. This means that the integration will use a CRM’s internal Do Not Mail flag to indicate when an address should not be mailed to. This is defaulted to be turned on and use the Do Not Send Mail? and No Mail Reason fields within DonorPerfect.
The alternative, when this setting is not checked, would be that an address is removed from the primary and added to the addresses tab on an account. We would not use the Do Not Send Mail? and No Mail Reason fields within DonorPerfect.
An account would be identified as do not mail when any of the following occur:
- An address is identified as invalid
- An address is identified as multi-matched
- An address is identified as vacant
- An address is identified as a move with no forwarding address
In relation to this, if the organization also had Synchronize Deceased Preference turned on (default = checked/on), then the system would also update the Do Not Send Mail? And No Mail Reason fields within DonorPerfect if an individual deceased match is identified.
Rules
Because the No Mail Reason field can have unique values amongst different organization, there are several rules in place to prevent unique values from being changed. Below are the rules created within the integration to handle accounts with Do Not Send Mail set to true (or checked) and No Mail Reason was populated.
- If an address is found to be mailable, we will not edit the Do Not Send Mail? field or the No Mail Reason field.
- If an address if found to be nonmailable, we will update the Do Not Send Mail? field to be true or checked and the No Mail Reason field will be updated to Bad/Incorrect Address. We will not change the No Mail Reason if it was already populated.
- If an address is found to be a move no forwarding address, we will update the Do Not Send Mail? field to be true or checked and the No Mail Reason field will be updated to No Forwarding Address. We will not change the No Mail Reason if it was already populated.
- If an address has a move address found and the move address is mailable, then we will remove the Do Not Send Mail? field No Mail Reason field only if the No Mail Reason was populated with Bad/Incorrect Address, No Zip Code, or No Forwarding Address. If any other code was shown, we will not edit those two fields when we synchronize.
- If an address has a move address found and the move address is nonmailable, then we will update the Do Not Send Mail? field to be true or checked and the No Mail Reason field will be updated to Bad/Incorrect Address only if the No Mail Reason was populated with Bad/Incorrect Address, No Zip Code, or No Forwarding Address. If any other code was shown, we will not edit those two fields when we synchronize.
Any account with Do Not Send Mail = true and No Mail Reason = Deceased would not have these two fields changed.
